New IRMS Website

The Information and Records Management Society (IRMS) has announced plans for a new website and membership management system, set to launch in late November 2025.

The current platform has served the organisation well over the years; however, it has become increasingly inefficient and no longer meets the Society’s evolving needs. As a result, IRMS has decided to upgrade to a new, modern system designed to deliver a better experience for members and visitors alike.

Why is IRMS making this change?

IRMS exists to promote the professional development of individuals working in information management. To fulfil this mission, its communication and membership platforms must effectively bring people together and provide easy access to information about the Society’s services, events, and resources.

What was wrong with the old system?

As technology advances rapidly, the existing platform had become outdated. Members experienced issues such as payment errors that required significant time and effort to resolve.

In addition, the previous website did not adequately reflect the range of IRMS activities, events, and benefits available, and it no longer complied with modern accessibility standards. The Society also recognised the need for a more attractive and user-friendly “shop window” to appeal to prospective members.

Which platform has been chosen?

IRMS has selected WordPress as the foundation for its new website. WordPress is cost-effective, scalable, and supported by a large global community. It also integrates with MembershipWorks, a membership management tool that enhances functionality and allows IRMS volunteers to provide ongoing support more efficiently.

How will members benefit?

The new system, powered by MembershipWorks, is designed to deliver a smoother, more intuitive user experience.

Key benefits include:

  • All member and backup data securely hosted on UK-based servers;

  • Streamlined subscription management with Stripe integration, providing flexible payment options and automatic renewals;

  • Improved profile management and enhanced control over privacy preferences; and

  • An upgraded private member directory with advanced search capabilities and smart keyword features, making it easier to connect with peers and manage individual profiles.

Has accessibility been considered?

Accessibility has been a central consideration throughout the development process. The new website is being built to comply with WCAG (Web Content Accessibility Guidelines), following the four POUR principles – Perceivable, Operable, Understandable, and Robust.

This approach ensures that content is accessible to all users, including those with disabilities. IRMS welcomes feedback from members to help improve accessibility further.

When will the new website go live?

The migration and testing phases are currently underway, with the launch scheduled for late November 2025.

Before the official launch, IRMS will host opportunities for members to preview the new site, share feedback, and familiarise themselves with its updated layout and features.

IRMS staff and volunteers are currently migrating and updating content in preparation for the launch. Members are encouraged to look out for further updates and invitations to preview the new site before it goes live.

The Society acknowledges that large transitions can present challenges and welcomes member feedback to ensure the new platform meets everyone’s needs.
